SUBJECT: ATHLETIC STADIUM SUBCOMMITTEE
MEETING NO. 4

The purpose of the meeting was to discuss the scope of work for the proposed Athletic Field
improvements and Concessions Building. Following are highlights of the meeting:
1. Erwin Lee (EL) welcomed the committee and provided the following information:
The project will be divided into two projects: New Bleachers and New Concessions
Building and site improvements. The new bleachers will follow a different schedule due
to the deferred approval process at DSA. The Concessions Building may be approved
sooner but it’ll take longer to construct. The goal is to have both projects completed by
fall of 2012 prior to the football season.
The athletic field will be fenced off during construction and should be available for use
during construction.
Two site plans are shown, the project site plan and the master plan site plan.
In order to keep the project within budget, the base project will show ac paving with
alternates: concrete paving, permeable pavers (the most expensive), or a combination
of both.
The fence that borders the running track will be moved into the Corp Yard to create a
new pedestrian walkway bordered by a 5’ wide landscaped strip to the Visitor
Bleachers. A picnic area by the existing oak trees, student memorial and entry gates
will serve the Concessions Building. A similar picnic area picnic area by the large
redwood tree will be created on the visitor’s side.
EL explained that the ADA pathway will need to be coordinated for this project and
new location for accessible parking will be identified.
2. A group discussion on the site planning followed:
Ann Abramson (AA) asked if the large roll-up door at one end of the new Concessions
Building could be moved to another location. AA felt that the doors were visually too
prominent. Earl Hansen (EH) replied that this roll-up door was a functional requirement
and shouldn’t be moved. AA noted that the door and wall needs to be attractive
possibly with an ‘eyebrow’ above the door.
EL asked about the paving under the bleachers, and EH noted that the hurdles could
be stored below the bleachers. The area below the bleachers will not be paved.
Aimee Lopez (AL) noted that the new jump pits will need to be coordinated with the
existing trees and vegetation, that some of it will need to be cleared. A low tree canopy
is unacceptable over the runways or pit. Christopher Ades (CA) noted that he would
walk the site to verify what portions should be trimmed back and lifted

bark was ok for the picnic area as it wouldn’t be used during rainy weather. CA noted
that by rotating the fence to be parallel with the driveway, the picnic area could
become larger. All agreed that this was a good idea.
EH noted that the track re-surfacing maintenance project was being scheduled for this
summer. EL responded that this work should be done after the install of the bleachers,
to avoid damaging the track. Also the track re-surfacing cannot be done during the
rainy season. Ron Smith will need to schedule this work to coincide with the athletic
field improvements. This project will be a PAUSD deferred maintenance project.
3. A group discussion followed on the Concessions Building design:
Tina Bono (TB) noted that the doors to the restrooms were too exposed to the food
lines. EL noted that a screen wall could be added to visually hide the restroom
entrances, but it would be difficult to find another location for the restrooms given the
site constraints. All agreed to leave the restrooms in their present location.
TB noted that a window dedicated to sell ‘spirit-wear’ was desirable. This could be
close to the ticket counter. EL responded that an entire room could be devoted to the
tickets and store at one end of the building. All agreed to devote two windows for
snacks/drinks and the third window would be for gear sales.
TB noted that an island-counter would also be desirable. EL replied that an island-
counter is very useful and would hide the back work counter functions.
TB asked for lockable closets and EL noted that these could be placed along the wall
leading the new Storeroom.
AL questioned the need for exterior canopies over the food line and storage. EH noted
that he did not need the canopy over the storage room but would like to see a trellis
over the food line. All agreed to make these changes.
4. AL noted that the bond program covers only the building and that interior equipment will
be funded separately. A group discussion followed on the interior design:
TB noted that appliances would not be necessary but they would need power for
countertop machines like microwaves, a crock-pot, and a hot dog roller. Also two
freezers and a refrigerator would be necessary. Currently they use buckets of ice for
drinks, so an ice maker would be desirable.
TB asked if the freezer/refrigerators need to be funded separately and AL replied, yes.
EL noted that the necessary outlets and stainless steel countertops would be designed
and provided to accept these units. Power requirements would be needed in order to
coordinate the electrical.
TB noted that the freezers and refrigerators might be placed under the island-counters.
EL noted that the island should be open below and may include shelves, below and
above the counter.
EL asked if shelving is required for the Pantry and AA replied, yes. However shelving
would be provided by owners and not in contract.
AA asked if DLM could produce an interior plan for the Concessions Building and EL
replied, yes, and that it would be given to this group to mark-up.
EL asked how many people do they typically serve. AA noted that between 800 and
1,000 has been typical. Also sometimes the games are back-to-back.
TB added that typically drinks, cold and hot (hot chocolate) are served.

AA asked that an outdoor sink be added to the building for the athletes. EL noted that
this sink can be located by the exterior drinking fountains.
9. Schedule:
Next FSC meeting will be scheduled for January 5th at 3:30 PM.
Next Stadium meeting will be scheduled for January 6th at 10:00 AM.
Presentation of the Stadium design to the BOE will be on Tuesday, February 8th.
