Planning & Design Meetings Schematic Design Meeting #4 9/30/2010 - Minutes Palo Alto HS PAC SUB-COMMITTEE MEETING Palo Alto Unified School District 30 September 2010 P. 1 PALO ALTO HIGH SCHOOL Palo Alto Unified School District PERFORMING ARTS CENTER SUB-COMMITTEE MEETING DATE: 30 September 2010, 3:30 pm-5:00 pm SUBJECT: Performing Arts Center, Site Coordination and Building Exterior Schematic Design Meeting #3 ATTENDEES: Sign-in sheet (attached) The following are the highlights of the meeting: 1. Jerry Berksen (JB) welcomed the committee and noted that Principal, Phil Winston (PW), has designated him to lead this committee. 2. The group discussed the status of the state grant. Highlights were: The CTE grant is currently a reservation of funds only and funding will be available only if the State of California funds this program. Erwin Lee (EL) noted that when the funds become available then a 12 month timeline begins at which point the project needs to be approved by DSA in order to qualify for these funds. Funding for the project is not dependant on the CTE grant. Aimee Lopez (AL) noted that even though the timeline has not yet begun, the design process is on a schedule to be prepared if it starts immediately.  Michael Najar (MN) noted that thanks are due to former principal Jacqueline McEvoy, for writing the grant and making this all possible. 3. AL noted that the new theater project will from now be referred to as the New Performing Arts Center (PAC), per the request of Superintendent, Kevin Scully. 4. EL began an overview of the latest site plans of the Performing Arts Center. Highlights of the discussion included: Caroline Willis (CW) asked if the building position changed and EL responded that yes it did to avoid a footpath easement. The easement was thought to be in favor of the District based on the preliminary title report but turned out to be in favor of Stanford University after further investigation. CW expressed concerns to the revised location because she believes that the Palo Alto HS PAC SUB-COMMITTEE MEETING Palo Alto Unified School District 30 September 2010 P. 2 PAC now takes on a more prominent position on campus which distracts from the Haymarket and Tower buildings. AL noted that discussions have been taking place with Stanford regarding the easement but given the schedule it seems prudent to proceed by respecting it. MN noted that the addition of this structure to the campus could do what many new buildings at Stanford University have done, add excitement and richness. EL noted that the new position of the PAC results in many positives including: shapes and increases the plaza in front of Haymarket Theater, allows for better auto circulation and drop off, provides more landscaping opportunities along Embarcadero and in front of the PAC, and provides more room at the rear for pedestrian circulation to the crosswalk at Embarcadero. It does not block the view of Haymarket Theater from the entry drive. 5. EL began an overview of the latest floor plans, exterior elevations and building sections. Highlights included: EL presented the Lower Level (Basement) plan and noted the decreased area per request of the group. Also, to save costs, a lift is being considered to access the Lower Level in lieu of taking the main elevator down to this level. Changes to the First Floor plan includes a large roll-up door at the rear replacing the roll-up door at Building 100 with double doors. The future Scene Shop will remain in the space currently occupied by Home Economics. A below floor air plenum will distribute low velocity air to all the seats through hidden openings. JB asked how the audience close to the stage circulates to the stage. EL noted that they need to walk back up the aisle to the level side aisle that leads to the stage. JH noted that this is typical for many high school theater designs. EL listed changes to the Second Floor plan: box seats have been modified to provide pairs of seats, the Classroom has been made larger, and the Costume Shop has windows and doors to a balcony that serves to animate the plaza. Kathleen Woods (KW) asked if there could be windows at the offices. EL noted that this is problematic as the exterior wall is a fire wall. EL noted that skylight or solar tubes might be possible. KW asked what happened to the requested toilet room on the second floor. EL noted that it‘s still under study whether DSA might require one or two. MN apologized for not communicating but he had given direction to dismiss the restrooms at this level. Given the tight floor area it does not have high priority. KW asked if anyone else thought they were needed and Chris Ades (CA) noted that they might be beneficial for a large balcony audience. AL noted that other buildings on campus don’t have student restrooms on the second floor. And the location would be inconvenient for patrons. Palo Alto HS PAC SUB-COMMITTEE MEETING Palo Alto Unified School District 30 September 2010 P. 3 JH noted that a sink and washer/dryer in the Costume Shop is important. JH asked that the Classroom should have a sprung wood floor. EL noted that this could be costly due to the recess in the framing to accommodate the depth of the wood floor system. KW added that the mirror (on one wall) should extend to the floor. A curtain track will be necessary to cover the mirror while not in use. AL reminded everyone that the classroom could be used for non-drama classes as well and should have the flexibility in use. 6. MN began a discussion of the house acoustics. Following is a summary: MN said that the possibility of having electrically enhancing acoustics was appealing. Given the range of performance types, the house needs to have flexible acoustics and a passive system can‘t be tested until it‘s finished. MN also expressed some reservations about the capability of an orchestra shell. With a variable speaker system the shell wouldn‘t have to be acoustical and the results more predictable. EL assured the group that the acoustical engineer feels that a passive system can provide appropriate acoustics for drama, choir and music providing a range of reverberation times from 1 second for speech to 2 seconds for music. AL asked if it was possible to add the speaker system later and EL said yes it was though it might be redundant and the infrastructure would need to be incorporated now. MN noted that most performances would be amplified, even a musical. KW noted that it might not be necessary in a hall with good acoustics. MN noted that after the upcoming visit to the demonstration hall a direction might be clearer and asked the group to strongly consider this option. MN mentioned that a site visit to the Meyer sound group would be beneficial to explore the options. 7. EL reviewed the updated exterior elevations and sections. Following is a summary: CW noted the importance of carefully studying the proportion of arches and window openings to harmonize the new structure with the campus.  CW added that the building should have windows facing Embarcadero Road which EL noted it would have.  EL showed the building sections and noted that the house has an architectural ‘liner’ that separates the audience from the aisles and service areas and creates an ambiance reminiscent of the campus architecture. The house also features a vaulted ceiling, not the infinity “blacked-out” ceiling with acoustical clouds common among recent theaters.
