FACILITIES STEERING COMMITTEE MEETING
DATE: 13 December 2011, 4:00-5:00 pm
SUBJECT: Palo Alto HS Facilities Steering Committee

The following are the highlights of the meeting:
Athletic Stadium Improvements Project Update
1. Tom Hodges (TH) informed the group that 10 bids were received for the project with
costs that ranged between $3.Om to $3.5m. The low, base bid of $3.Om compares
to the budget of $3.2m. The low bidder was Taisei Construction which is the same
contractor building the media arts and classroom building.
2. At tonight's board of education meeting, the recommendation is to award the base
bid plus the bid alternate for the for the trellis structure to Taisei construction.
However, the other alternates were very high relative to the other bids and the
District will find another way to implement them. The cost of the alternates will be
funded from the overall project budget.
3. One of the bid alternates was the food service equipment for the concession
building which was to be donated by the athletic boosters. This alternate was
included to determine the value of the equipment in the event that the booster would
donate the cost to fund the alternate through the contractor. However, the alternate
as bid was much higher than other bidders. The District and boosters will
coordinate the purchase of equipment and installation by the contractors.
4. Tim McBrian (TM) indicated that the current schedule is to have the concession and
restroom facility completed prior to the 2012 football season with the stadium
bleachers completed after the football season. The schedule for the stadium
bleacher portion of the project is heavily dependent on the time it takes the Division
of the State Architect (DSA) to review the supplemental engineering drawings for
the stadium bleachers.
5. TH added that the track resurfacing project will commence after the completion of
the stadium bleacher project.
Construction Update: Media Arts and classroom Building
6. TM shared that the building pads have been completed, the footing have been dug,
and rebar for the footings is being installed.
• Structural steel is being fabricated and should start to arrive in Jan/Feb 2012.
• During the winter break, underground utilities will be installed in the EI Camino
parking lot.

7. Rachel Kellerman (RK) asked how the construction access gate was being
monitored or supervised and expressed some concern about it being dangerous for
students crossing the access. TB responded that during construction hours the
gates are being maintained and that there should be no construction traffic prior to
school and after school when the most students are present. TM further indicated
that everyone connected with the construction is well aware of the bell schedule and
when deliveries are schedule and indicated that he thought the contractor was
doing a good job monitoring the safety of the access. TM will discuss with Phil
Winston (PW) and the contractor to make sure that the access area is safe.
Boiler Project Update
8. TH indicated that the first of two boilers was installed and was being commissioned.
The second boiler is being prepared for installation.
Future Projects
9. The PAC will be presented to the BOE as a discussion item tonight. All are
welcomed to attend and support the PAC.
10. Scheduling program meeting for the library will begin soon.
