FACILITIES STEERING COMMITTEE MEETING

SUBJECT: Palo Alto HS Facilities Steering Committee

The following are the highlights of the meeting:
1. Introductions:
Rachel Kellerman (RK) welcomed the committee and initiated the meeting.
2. Tom Hodges noted that the agenda for this meeting is very full as this is the last
FSC meeting before an upcoming BOE meeting. At the BOE meeting Conceptual
Design for the Stadium Improvements project as well as the Theater Project will be
presented. Budget increases for both projects will be considered. The Landscape
Master Plan will be presented for information on June 8, 2010 at a daytime BOE
meeting.
New Theater
3. Erwin Lee (EL) gave a power point presentation of the latest plans and design
studies of the new Theater (Schemes B and E) and recapped the progress made by
the Theater subcommittee. The highlights included:
The Theater subcommittee has narrowed the design options to two,
schemes B and E.
Photos of the site show that the site is most visible from the campus
driveway of Embarcadero Road.
Schemes B and E were shown with a site plan using the latest Landscape
Master Plan, plan diagrams of both floors, 3D aerial views showing
relationship to the campus, perspective views with photo overlay, and two
3D model views.
Schemes B and E are both about 29,000 SF and incorporate the same
program elements.
Scheme B takes design cues from Haymarket Theater and Tower Building.
Its signature element is a curved façade and a rotated house that helps to
minimize the apparent mass of the fly loft. It relates to the campus by using
compositional elements found on campus.
Scheme E is a frontal building with all masses parallel or perpendicular to
the campus buildings. Its signature element is a tall gable roofed lobby,

terminated by a grand staircase that continues the long roof lines of the
Tower Building.
EL noted that each scheme would have a different presence on campus. EL
added that a rotated scheme was studied without a curved façade but that
this option was less successful as a composition.
Discussion followed and the following comments were made by members of the
committee:
Paul Kandell (PK) complemented both design schemes and noted that he
liked scheme B for its soft edge and rotated angle.
Anne Ingals (AE) preferred Scheme E because it seemed more traditional
and carried the theme of the campus most successfully.
Stu Berman (SB) noted that the fly loft looked better on Scheme B but
questioned the usefulness of triangular spaces resulting from plan rotation.
Michael Najar (MN) noted he reviewed the plans with Jeff Wilner, Kathleen
Woods, performing arts and music instructors and they preferred Scheme B.
The less than rectangular spaces were not a concern to them and they liked
the way this scheme was different while maintaining a strong relation to the
existing campus buildings. In summary MN noted that this scheme was
attractive, welcoming and represented the arts program very well.
Ann Anderson (AA) noted that whichever scheme is chosen, it needs to
strongly relate to the campus buildings.
The FSC voted and approved Scheme B as the preferred scheme. Pending
Board approval, the FSC recommended DLM to proceed with Schematic
Design.
Stadium Improvements Project
3. EL provided a power-point presentation of the updated stadium improvement plans:
EL noted that the objective of this design was to maximize seating and add
the necessary programmatic elements.
El summarized that the stadium plans include: Home and Visitor bleachers
with press box, Concessions/Restroom building, entry gates and ticket
counters, pedestrian paths with landscaping, new long jumps, picnic areas,
and the relocation of various portable buildings.
Stadium site plans include a full build-out and the interim plan. The interim
site plan does not include the drop-off/turn around and entry plaza.
Concessions/Restroom building is shown with two 3D views.
Discussion followed and the following comments were made by members of the
committee:
General reaction is favorable and supportive of the overall design.
TH noted that the entries to the restrooms should move back to the side
facing the concession windows. This would improve supervision and keep
everyone on one side of the structure.

TH noted that next steps for this project are to produce cost estimates and to
present the conceptual design at the upcoming BOE meeting.
Construction Updates:
4. TH noted that the baseball coach is in favor of the all turf field with no cut out for the
base runways. Majority of the athletes were also in favor of the idea. Its composed
of natural turf with artificial turf at the bases.
Anne Anderson (AA) had taken exception to the transition between the
artificial turf and natural turf but after further review and discussion is now in
favor of the change. Another committee member noted that at Gunn High
School has had trouble with this transition in their new field and that it needs
to be carefully detailed.
Mary Gordon who could not attend today’s meeting is against this type of
field with artificial turf.
TH noted that the majority of the votes submitted via email approved the all
turf design. The FSC re-voted and approved the change to all turf.
5. Bob Golton (BG) updated the group on the redwood tree relocation proposal. TH
handed out a site plan showing optional locations for the relocation of the redwood
trees. He explained that they walked the site with Mary Gordon, and best locations
were identified and reviewed with Chuck McDonnell. The FSC approved the
proposal..
6. Heidi Rank (HR) updated the group on the Media Center/Classroom Building
budget augmentation issue and handed out a “High School Project Estimate
Comparisons” matrix. After reconciling two project Design Development cost
estimates the Media Center and Classroom Building projects are found to be $1.8
million over budget. It’s due to several factors: extensive storm drain retention areas
(unknown during the Schematic Design phase), added day lighting for the
Classroom Building, and a more advanced tel./communications system. TH noted
that the difference could come out of the infrastructure budget but this would require
approval from the BOE.
7. TH updated the group with a revised Project List. TH explained that the list now
takes into account increased budgets for the Stadium Improvements and New
Theater projects. The following discussion followed:
BG noted that an option is to proceed with outstanding projects and re-review
the project list.
TH noted that the CTE building has not yet been programmed and there could
be some funds available if the building is smaller.
It was noted that the Boosters may be able to raise the necessary funds to help
offset cost overages for the Stadium improvements.
AA noted that the Tower Building should not be left out and related a story
where Apple Computer chose Los Gatos High School over Paly because the
Tower Building windows did not look good in the photos.

8. HR showed the group various tree diagrams and a bench relocation diagram. The
following discussion followed:
HR explained that the tree diagrams showed existing underground utilities that
delimit tree planting options.
HR asked EL if Gates could look at the diagrams and determine whether one or
two trees would fit between the utilities at the proposed Memorial Garden.
HR explained that the bench relocation design was based on current circulation
paths and could be changed at a later date as the benches are moveable. The
group took no exception to the Bench Relocation diagram.
9. Next Steps:
TH noted that the New Theater and Stadium Improvements Project will be
presented at the upcoming BOE meeting. The Landscape Master Plan will
be given as information only and the design shown at the following meeting.
Next meetings include Community Meeting on May 26th at 6:30 PM and
Theater Meeting on May 27th at 3:30 PM.
Next FSC meeting date to be determined.
