Planning & Design Meetings Auxiliary Gym Program Meeting Notes #2 5/7/2009 - Minutes Auxiliary Gymnasium and Gymnasium Modernization Gunn High School 5 May 2009 Page 1 GUNN HIGH SCHOOL Palo Alto Unified School District PROGRAM MEETING NOTES No.2 DATE: 7 May 2009 SUBJECT: Auxiliary Gymnasium and Gymnasium Modernization ATTENDEES: Chris Horpel, AD Don Biggs, PE IS Paul Stickney, PAUSD/OCMI Dean Schmitz, DLM Erwin Lee, DLM The purpose of the meeting was to review plan diagrams based on information gathered from the previous meeting and to provide preliminary budget information with the options. The following are highlights of the meeting: 1. The existing site plan, along with three, gymnasium options were presented. a. Option A: Auxiliary gymnasium plan and scope as contained in the Master Plan with the addition of tennis and basketball court. b. Option B: Expanded auxiliary gymnasium plan and scope in the Master Plan with additional modernization scope, including deleting the wall between the existing wrestling and dance rooms, and convert the existing weight room into two classrooms c. Option C: Expanded auxiliary gymnasium plan and scope in the Master Plan with minimum modernization work. 2. Option C was the preferred option but it requires elimination of modernization work as well as the new lobby addition. Funds for the deleted scope of work would be reallocated to the auxiliary gymnasium. 3. A third option was discussed but not part of the presentation. This option placed the auxiliary gymnasium north of the swim center and south of the baseball field. This location would keep the existing tennis courts and basketball courts undisturbed. In this option, funds would not be used to restore the tennis courts and basketball courts. Additionally, the courts could still be used during construction. Loss of the field area at this location was not a high concern of the PE department. 4. Paul indicated that the existing easement that provides design constraints to the north, may no longer be useful to PG&E and that it might be worthwhile for the District to investigate whether or not it can be removed from the site. The budgets for the auxiliary gymnasium, gymnasium lobby addition and the modernization project were established in the Master Plan project list. The combination of work scope cannot exceed the total budget. The total budget from the Master Plan is approximately $9,945,000. 6. The desire of Chris and Don is to reduce the modernization work in order to expand the auxiliary gymnasium. Essentially, the auxiliary gymnasium would become the main spectator and completion gymnasium. Chris noted that there are issues with the existing gymnasium that the modernization cannot correct such inadequacies as low clear ceiling/structure height and bleacher capacity. 7. Chris mentioned that a consideration for an emergency vehicle access (EVA) must be provided from the existing parking lot to the baseball and football fields. The proposed basketball courts could be used as part of the EVA route. A discussion followed regarding whether the basketball courts needs to be fenced. It was determined that the need to provide fencing was for street hockey and not basketball. A low, partial length fence positioned behind the hockey goals would be adequate. 8. The minimum floor size and configuration of the new gymnasium must be at least the same as that of the existing. 9. Some of the existing redwood trees east of the tennis courts will need to be removed. This will be verified after the survey is completed by the District’s surveyor. 10. It has not been determined if the existing wall between the wrestling room and the exercise room can be easily removed. The wall can probably be removed regardless— it would then become a cost benefit evaluation. Chris asked if the door pocket could be removed as well as the folding partition is never closed and divides the gymnasium in the opposite direction of what is required for the PE programs. 11. Erwin indicated that consideration should be given to not expanding the scope of the modernization beyond maintenance and upgrade work. Change in plan layout or use could trigger additional mandated work by DSA requiring dollars to be spent in areas not originally considered. 12. Provide a roll-down, divider curtain in the existing gymnasium perpendicular to the direction of the existing folding partition. This requires investigation as to how it would be supported and what clear height would be achievable. 13. The bleacher seating capacity in the existing gymnasium is approximately 1,200. The desire is to seat 2,000 in the new gymnasium facility. 14. The desire to pursue Option C is a decision that requires consideration by the entire site facilities committee. Chris suggests that the option be presented to the larger group for consideration.
