SCHEMATIC DESIGN TO DESIGN DEVLOPMENT
TRANSITION MEETING
DATE: 28 January 2010, 1:30 – 2:30 pm
SUBJECT: Classroom Building B: World Languages

The following are the highlights of the meeting:
1. The purpose of the meeting was to introduce the construction management team
that will be taking over from the program management team. The transition is taking
place between the schematic design (SD) phase and the design development (DD)
phase of the project. The construction management team will carry the project
through completion and building occupancy.
2. A set of the schematic design drawings, approved by the Board of Education (BOE)
at the 26 January 2010 meeting, was reviewed by the group. The schematic design
set reflects the scope of work that was estimated and reported to the BOE.
3. The design team continued to develop the project beyond the schematic design
phase including incorporating more recent comments that were received from the
users as well as comments from the local fire authority.
4. The DD phase will have a check point against the budget. At that time, a value
engineering exercise will take place to make sure that options are reviewed,
evaluated and discussed to make sure that the project remains within budget.
5. The design team is working towards a submittal to the Division of the State Architect
(DSA) in June 2010.
6. Aimee Lopez (AL) explained that the DD phase is where more detailed design
decisions are made. Any comments or thoughts regarding the design can still be
sent via email to Erwin Lee (EL) at any time.
7. EL reviewed a drawing of the enlarged site plan showing the site improvements
adjacent to the building. He explained the location of the proposed covered
walkway connections to the existing covered walkway system and the adjacent
landscape areas. He also pointed out the patio area outside of the Resource Room
will an exterior counter and storage.

8. AL shared that all classrooms will have air conditioning. EL added that although
there will be individual classroom temperature controls, the comfort range will be
predetermined and set.
9. Comments regarding the current Classroom Building B floor plan:
The general plan remained the same and it was confirmed that the plan is still
valid.
All classrooms will have “smartboards.”
The preferred classroom configuration is to enter at the back of the room with
the teaching wall and “smartboard” on the opposite wall. This configuration
works for all of the classrooms except one. It was determined by Anne Jensen
(AJ) that this exception was acceptable. Due to the orientation of this classroom,
windows will be on adjacent walls in lieu of opposite walls. This was acceptable
provided that some of the windows were high to allow room for a markerboard
below.
EL pointed out that each classroom will receive 12 linear feet of base cabinets
and a 3 foot wide teacher’s wardrobe cabinet. All agreed that this was
sufficient.
The Storage Room adjacent to the Workroom should have 24” deep shelves to
accommodate equipment.
In order to accommodate the preparation of a variety of cultural foods, the
Resource Room will have a range, refrigerator, double sink with garbage
disposal, and a microwave. The microwave will be under cabinet mounted to
allow the maximum counter space.
AL questioned the size of the reception area. EL indicated that it is more of a
waiting area useful for parents or students waiting to meet with teachers. It was
agreed to leave it as is.
AJ confirmed that the IS will have a work station in an alcove off of the larger
Office area in lieu of a separate office.
Alex Morrison (AM) indicated that the IDF cabinet should be located in a
separate room or closet according to the IT group. They do not want the IDF
cabinet in an area where others could access it. EL will study options to provide
a closet for the IDF.
AJ requested book shelves in the Office area. EL identified an area where built-
ins could be located. However, he suggested that other bookshelves be
furnishing items and movable in lieu of fixed. This would allow the greatest
flexibility in the open office area for furniture arrangement.
10. Yukie Hikida (YH) asked if the windows will be operable. EL responded that some
of the windows will be operable. YH asked if the glass will be insulated. EL
responded that the glass will be insulated for both thermal and acoustical reasons.
11. YH asked if the windows will have room darkening shades which is desirable for
their classrooms. AL noted that the District standard is to have no coverings on
operable windows. EL stated that the type of window operation had not been
determined yet and asked if the window covering only applies to out-swinging or in-
swinging configurations where they would conflict with the window coverings.

12. AJ asked how many electrical outlets would be in each classroom. After looking at
the SD drawings, AM indicated that there were at least two outlets per wall shown
which would make them no further than 10 ft. apart. All rooms will be prepped for
wireless connectivity.
13. Tom Jacoubowsky (TJ) offered that a “quiet/pump room” be incorporated into the
building similar to Classroom Building A. AJ indicated that the staff toilet room
could be enlarged to accommodate this function. She further shared that since the
world languages’ staff is primarily female, the toilet room could be tailored towards a
“female” restroom.
14. EL noted that the building does not have any drinking fountains and asked where
the closest drinking fountains were. He added that it will not be difficult to add a
drinking fountain to the building and proposed a location at the end of the covered
area.
15. AL indicated that the plan revisions will be made and distributed for review within
the next two to three weeks.
