TRANSITION MEETING

SUBJECT: Classroom Building A: Math / English

The following are the highlights of the meeting:
1. The purpose of the meeting was to introduce the construction management team
that will be taking over from the program management team. The transition is taking
place between the schematic design (SD) phase and the design development (DD)
phase of the project. The construction management team will carry the project
through completion and building occupancy.
2. A set of the schematic design drawings, approved by the Board of Education (BOE)
at the 26 January 2010 meeting, was reviewed by the group. The schematic design
set reflects the scope of work that was estimated and reported to the BOE.
3. The design team continued to develop the project beyond the schematic design
phase including incorporating more recent comments that were received from the
users as well as comments from the local fire authority.
4. The DD phase will have a check point against the budget. At that time, a value
engineering exercise will take place to make sure that options are reviewed,
evaluated and discussed to make sure that the project remains within budget.
5. The design team is working towards a submittal to the Division of the State Architect
(DSA) in June 2010.
6. Aimee Lopez explained that the DD phase is where more detailed design decisions
are made. Any comments or thoughts regarding the design can still be sent via
email to Erwin Lee (EL) at any time.
7. EL reviewed a drawing of the enlarged site plan showing the site improvements
adjacent to the building including:
Location of bike racks behind the building along the bike path. Three smaller
areas were proposed in lieu of a single large area in order to avoid impact to the
existing trees.

The emergency vehicle access (EVA) is on the south side of the building
between the south wing and the existing Art building. A “hammerhead” provides
the turnaround maneuvering area for the vehicles.
A circular seating area surrounded by a raised planter creates an outdoor
seating area for instruction with the court. The perimeter provides additional
seating opportunities within the interior court.
8. Comments regarding the current Classroom Building A floor plan:
First Floor:
Jeanne Beck (JB) noted that the book storage should be closer to the office
area so that the person distributing and checking in/out books does not have to
run back and forth from the office. EL suggested that the book storage and
janitor room switch locations. This would put the storage closer to the office and
provide a larger area. The book storage needs to accommodate approximately
3,000 books. Two book storage areas, in lieu of a single larger area, are
acceptable although a single large area is desirable.
The Computer Lab needs a storage or closet area for the laptop carts. EL noted
that the second janitor room could become the laptop cart storage since it is
ideally located adjacent to the lab. The storage or closet should have interior
dimensions of at least 4ft by 4ft.
The Computer Lab needs perimeter electrical power and data service as well as
floor locations.
Paul Dunlap (PD) shared that his Computer Lab for the English Dept. would be
used as a flexible instructional space and not just a computer lab.
The casework is correctly located on the wall facing the court.
The window sill height facing the court was confirmed as being just above the
counter height.
The storage room near the Staff Room will be expanded with a portion
separated into a “quiet/pump room.”
Second Floor:
All math classrooms will have “smartboards.”
The book storage location is a problem as it is on the first floor. However, there
is no under stair opportunity and the additional space will be captured
elsewhere. JB noted that the Workroom is larger than necessary and can be
reduced to create the book storage room. JB indicated that the Workroom only
needs to be 250-300 sf. EL indicated that this area will be revisited to create the
desired configuration.
JB noted that one of the Conference Rooms could be slightly smaller if it was
necessary to make the book storage work.
JB requested that the opening between the Workroom and General Office area
be larger if possible.
JB does not want the “smartboards” located back-to-back. She indicated that
there were noise issues with this configuration in her current rooms. Alex
Morrison (AM) noted that the back-to-back configuration was more efficient and
thus less expensive and that new construction will contain acoustical insulation
that will mitigate the problem. However, this is not a significant cost issue on a

project this size. EL indicated that this would result in some rooms entering
from the front and others from the back. JB was fine with this configuration and
said that this is currently the condition with her existing classrooms.
Where applicable, comments from the first floor also apply to the second.
9. All classrooms and office areas should be prepped for wireless network
connections.
10. The folding partition should have good acoustical isolation properties. EL indicated
that one with a high STC rating will be specified. JB shared that the partition in the
library, where she once taught, was not very good acoustically and that she wanted
to avoid this problem.
11. JB noted that Staff Toilet Rooms should have electrical outlets. AM indicated that
they would all have convenience receptacles and that was a standard.
12. Aimee Lopez (AL) noted that the District standard is to have no coverings on
operable windows. EL stated that the type of window operation had not been
determined yet and asked if the window covering only applies to out-swinging or in-
swinging configurations where they would conflict with the window coverings.
13. Tom Jacoubowsky (TJ) shared that one of the first floor classrooms would have a
slightly different configuration and would be used for the “Focus on Success”
classroom. The difference between the FOS classroom and a standard classroom
would primarily involve casework and would not change the current building floor
plan.
14. AL indicated that the plan revisions will be made and distributed for review within
the next two to three weeks.
